Terms & Conditions of Stay
These Terms and Conditions of Stay (the “Terms”) apply to the accommodation contract, and any contract related to it, concluded between “UJINA Pocket House” (the “Property”), operated by Setouchi Stay (licensed business operator: tomi企画株式会社), and the guest.
This English text is a reference translation provided for convenience. If there is any discrepancy between this translation and the Japanese original, the Japanese version shall prevail.
For bookings made through Airbnb, Booking.com or another booking platform, cancellations and changes follow the conditions applicable to your booking and the platform’s procedures. The direct-booking cancellation conditions on this page do not replace them. Receiving a shared stay guide or pre-arrival instructions does not change the conditions agreed to when booking or the platform’s rules.
Article 1 (Scope)
The accommodation contract, and any contract related to it, concluded between the Property and the guest shall be governed by these Terms. Matters not provided for in these Terms shall be governed by laws and regulations or by generally established practice.
Article 2 (Application for and Formation of the Accommodation Contract)
Applications to stay at this property are made by submitting the booking form. You are taken straight to the payment screen once you submit.
Your booking is confirmed the moment your payment goes through — there is no waiting for a reply. The reservation (and the contract) is formed once payment is complete.
The accommodation contract is formed at the moment we confirm that your credit card payment (Stripe) has completed. Withdrawing your application before payment is free of charge. If payment is not completed by the stated deadline, the application is cancelled automatically.
Article 3 (Accommodation Charges and Payment)
The accommodation charge is the rate shown on each property's booking page (consumption tax included), with the discount applicable to the selected plan applied.
The displayed rate includes the accommodation tax; it is not charged separately.
Accommodation charges are prepaid by credit card (Stripe) on the screen shown after you submit the booking form, by the deadline displayed there. Depending on the availability of payment methods, we may arrange an alternative means of payment with you individually.
Article 4 (Cancellation Fees)
If the guest cancels for the guest's own reasons after the accommodation contract has been formed, the following cancellation fees apply according to the plan selected at the time of booking.
Standard Plan
- Up to 14 days before check-in: Free cancellation
- 13 to 7 days before check-in: A cancellation fee of 50% of the accommodation charge will apply
- 6 days before check-in through the day of, or no-show: A cancellation fee of 100% of the accommodation charge will apply
Non-Refundable Plan
- 10% off the base rate
- Once a booking is confirmed (payment completed), cancellations are subject to a cancellation fee of 100% of the accommodation charge, except in cases of force majeure (Article 5 of the Terms & Conditions of Stay).
- Cancelling before payment is free on either plan (the contract is formed only when payment completes). If we cannot confirm your payment by the deadline, the booking is cancelled automatically.
- Cancellation fees are calculated on the accommodation charge after any discounts or coupons have been applied. The same cancellation rate also applies to paid parking fees and charges for other optional services.
- If you are unable to arrive due to force majeure such as natural disasters or transportation disruptions, please contact us to discuss your situation.
Cancellation fees are applied against accommodation charges already paid, or invoiced separately (they are charged even if payment has not yet been made).
Article 5 (Force Majeure)
If the stay becomes impossible due to a natural disaster, severe weather, disruption of transportation or any other cause not attributable to either party (force majeure), the Property and the guest shall consult in good faith and decide whether to change the dates of stay or to terminate the contract.
In the case of termination due to force majeure, the Property may waive the cancellation fees set out in the preceding Article (to be discussed on a case-by-case basis).
Article 6 (Compliance with the Maximum Occupancy)
The maximum occupancy of the Property is 8 persons. Stays by more persons than the maximum occupancy, stays by more persons than the number booked, and stays by persons not listed in the guest register are not permitted. If you wish to change the number of guests, please contact us in advance (a change in the number of guests approved by the Property does not constitute a breach of this Article).
Children's rates are as follows. Infants under 2 and children aged 2–6 stay free of charge. For children aged 7–12, if the number of guests exceeds the base occupancy (the number of guests included in the nightly rate), half of the per-adult rate (the nightly base rate divided by the base occupancy) is charged per child per night. The base occupancy is applied first to adults, then to children aged 7–12, then to children aged 2–6. Guests aged 13 and over are charged the adult rate.
If the maximum occupancy or the booked number of guests is exceeded without permission, or if a person not listed in the guest register is found to be staying, the Property may terminate the accommodation contract and require the guests to leave. In that case, accommodation charges already received will not be refunded.
In addition, an additional charge of JPY 10,000 per person per night applies for each person exceeding the maximum occupancy or the booked number of guests, and for each person not listed in the guest register. If a person who is not staying enters or uses the Property, JPY 10,000 per person per day also applies.
Article 7 (Check-in and Check-out)
Check-in is from 16:00 onwards, and check-out is by 10:00. If you wish to change these times, please consult us in advance.
Article 8 (Prohibited Conduct and Consideration for Neighbours)
Guests must not engage in any of the following while using the Property. In the event of a violation, the charges set out below apply, and the Property may terminate the accommodation contract and require the guests to leave.
- Smoking anywhere on the premises (including e-cigarettes), except in outdoor areas where smoking is permitted under the property's house rules. If smoking takes place inside the building, a special cleaning fee of JPY 20,000 applies.
- Noise that disturbs the peace of the neighbourhood, and loud voices or conversation outdoors during the quiet hours set out in the property's house rules. If a complaint is received from neighbours or the police, guests will be required to leave immediately regardless of the time of day, and accommodation charges will not be refunded. In addition, JPY 50,000 applies if a report is made by neighbours, and JPY 100,000 applies if the police are called out.
- Bringing in or keeping pets. In the event of a violation, the actual cost of the special cleaning required applies.
- Use for parties or events that cause a nuisance to the neighbourhood.
- Use of open flames anywhere other than designated places.
- Conduct that violates laws and regulations or public order and morals.
- Any other conduct that violates the house rules set by the Property (published on the property page).
Article 9 (Refusal of Accommodation and Termination of the Contract)
The Property may refuse accommodation or terminate the accommodation contract in the following cases.
- When the application contains false information.
- When there is a recognised risk of serious nuisance to other guests or neighbouring residents.
- When there is a risk of conduct that violates laws and regulations or public order and morals.
- When a case falls under the provisions of laws and regulations concerning infectious diseases.
- When accommodation cannot be provided due to a natural disaster, a failure of the facilities or other unavoidable circumstances.
Article 10 (Compensation for Damage)
If damage is caused to the Property's building, facilities, equipment or other items through the guest's intent or negligence, the guest shall compensate for that damage. The amount of compensation is the actual cost of repair or replacement. If a key is lost, a lock replacement fee of JPY 30,000 applies.
Article 11 (Disclaimer)
The Property is not liable for damage suffered by the guest arising from causes not attributable to the Property. This does not apply, however, where the Property has acted with intent or gross negligence.
Article 12 (Amendments, Governing Law and Jurisdiction)
These Terms may be amended as necessary. The amended Terms take effect when posted on this page.
These Terms are governed by the laws of Japan. The Hiroshima District Court or the Hiroshima Summary Court shall have exclusive jurisdiction as the court of first instance over any dispute arising in connection with these Terms.
Article 13 (After Check-out)
- If the check-out time is exceeded, JPY 2,000 per person applies for every 15 minutes.
- If suitcases or other large items of waste are left at the Property, a disposal fee of JPY 10,000 per item applies.
- The Property does not contact guests about lost property. Items left behind are kept for 15 days from the check-out date; if you contact us within that period, we return the item by cash-on-delivery shipping plus a handling fee of JPY 2,500. Items not claimed within 15 days are disposed of.

Revised: September 27, 2026 (4th edition). The 4th edition applies to new direct-booking applications made on or after the revision date (the change from the 3rd edition is the addition of child rates in Article 6; cancellation conditions are the same as in the 3rd edition). For an existing application or booking, the edition of the terms (1st, 2nd, 3rd or 4th) and cancellation conditions presented and agreed to when applying remain applicable; updating this page does not replace them. However, we no longer deduct the 3.6% payment-processing fee from refunds for direct bookings, including those covered by an earlier edition.
